Offline Inspections

Learn how to perform inspections without internet connectivity.

When to Use Offline Mode

Offline mode is useful when:

  • Working in areas without WiFi or cellular
  • Internet is unreliable
  • Network is congested or slow
  • Emergency situations

How Offline Mode Works

Automatic Detection

Kuviq detects when you're offline:

  • No manual switch needed
  • Works automatically
  • Visual indicator shows offline status

Data Storage

When offline:

  • Inspection data saves to your device
  • Photos store locally
  • Signatures capture normally
  • Everything queues for upload

Syncing

When you reconnect:

  • Data uploads automatically
  • Progress indicators show sync status
  • Conflicts are handled (if any)

Starting an Offline Inspection

Prerequisites

For best results:

  1. Open Kuviq while online - Loads necessary data
  2. Navigate to the item - Item data caches
  3. Start inspection - Template loads

If Already Offline

If you lose connection during use:

  • Continue with cached data
  • Recent items are available
  • Some features may be limited

From Cached Items

Kuviq caches recently viewed items:

  1. Go to Inspections > Offline
  2. View available items
  3. Start inspection normally

Completing Offline Inspections

Same Process

Complete inspections as normal:

  • Fill in all elements
  • Take photos
  • Add signatures
  • Write notes

Offline Indicators

While offline you'll see:

  • Offline badge in the header
  • "Will sync when online" messages
  • Local save confirmations

Saving Locally

Your progress saves automatically:

  • Every response is stored
  • Photos save to device storage
  • No data loss from closing app

Taking Photos Offline

Camera Works Normally

  • Take photos as usual
  • Photos store on device
  • Multiple photos supported

Storage Considerations

Photos take up device space:

  • Monitor storage during large inspections
  • Photos upload and clear after sync

Photo Quality

Reduce Photo Size

If storage is a concern, check device camera settings for reduced resolution. Standard quality is usually sufficient.

Syncing Inspections

Automatic Sync

When internet returns:

  1. Kuviq detects connectivity
  2. Begins uploading automatically
  3. Progress shows in notification area
  4. Confirmation when complete

Manual Sync

To force a sync attempt:

  1. Go to Inspections > Offline
  2. Click Sync Now
  3. View sync status

Sync Progress

Track sync progress:

  • Number of inspections pending
  • Upload progress bar
  • Individual inspection status

Viewing Pending Inspections

Offline Queue

  1. Go to Inspections > Offline
  2. View all pending uploads
  3. See status of each:
    • Waiting
    • Uploading
    • Complete
    • Failed (retry needed)

Inspection Details

Click a pending inspection to:

  • View what you entered
  • Confirm data is saved
  • See any issues

Handling Sync Issues

Retry Failed Uploads

If an upload fails:

  1. Check your connection
  2. Go to Offline
  3. Click Retry on the failed item

  • System notifies you
  • Review both versions
  • Choose which to keep
  • Or contact admin for help

Before Going Offline

  1. Load needed items - Browse while online
  2. Download templates - Open inspection forms
  3. Check storage - Ensure space for photos
  4. Verify cache - Test offline access

During Offline Work

  1. Complete inspections fully - Don't leave partial
  2. Take photos as needed - Capture important items
  3. Add thorough notes - Document context
  4. Check periodically - Confirm saves

After Returning Online

  1. Wait for sync - Let it complete
  2. Verify uploads - Check inspections appear
  3. Review any issues - Address failures
  4. Clear local data - Once confirmed synced

Troubleshooting

"No Offline Data Available"

  • Items weren't cached
  • Need to browse items while online first
  • Return to connectivity to load data

"Sync Failed"

  • Check internet connection
  • Wait and retry
  • Try switching to different network
  • Contact support if persistent

"Storage Full"

  • Delete old files from device
  • Reduce photo quality
  • Complete and sync inspections to free space

Lost Data

Data loss is rare with offline mode:

  • Check Offline queue
  • Look for "In Progress" inspections
  • Contact support with device info

Device Storage

Managing Storage

Offline data uses device storage:

  • Inspection responses (small)
  • Photos (larger)
  • Cached templates (small)

Clearing Cache

To clear cached data:

  1. Sync all pending inspections
  2. Go to Settings
  3. Find cache options
  4. Clear offline cache
Before Clearing

Ensure all inspections are synced before clearing cache to avoid data loss.
