Editing Items
Learn how to update and modify equipment information in Kuviq.
Who Can Edit Items
Editing items requires appropriate permissions:

| Admin | All items |
| Manager | Items in assigned locations |
| User | Generally no (depends on permissions) |
Contact your administrator if you need to edit items but don't have permission.
Editing a Single Item
Opening the Edit Form
- Navigate to the item's details page
- Click the Edit button
- The edit form opens with current values
Modifying Basic Information
Update any of these fields:

| Item Type | Changing type may affect custom fields |
| Location | Select new location from hierarchy |
| Serial Number | Manufacturer's serial |
| Manufacturer | Select from list |
| Model | Model name/number |

Updating Custom Fields
Custom fields depend on the item type:
- Scroll to the custom fields section
- Update values as needed
- Required fields must be completed
If you change the item type, custom fields may change. Review all fields after changing types.
Managing Photos
Adding Photos
- Click Add Photo
- Select from device or take photo
- Add optional caption
- Upload
Removing Photos
- Click the photo thumbnail
- Click Delete or trash icon
- Confirm deletion
Setting Primary Photo
- Click the photo to set as primary
- Click Set as Primary
- This photo appears in lists and cards
Saving Changes
- Review your modifications
- Click Save
- Changes are saved immediately
All changes are logged in the item's event history.
Changing Item Status
To update an item's status:
- Open the item for editing
- Find the Status field
- Select the new status
- Save

Changing Item Location
When equipment moves:
- Edit the item
- Select the new Location
- Save
The location change is recorded in the event history.
For moving many items, use the bulk edit feature or contact your administrator.
Bulk Editing
To edit multiple items at once:
Selecting Items
- Go to the Items list
- Check boxes next to items to edit
- Or use Select All for the page
Available Bulk Actions

| Change Status | Update status for all selected |
| Add to Group | Add items to an item group |
| Remove from Group | Remove from a group |
| Export | Download selected items |
Performing Bulk Edit
- Select items
- Click Bulk Actions
- Choose the action
- Confirm the change
- Changes apply to all selected items
Edit History
All changes are tracked:
- Open the item details
- Go to the Events or History section
- View all modifications with:
- Date and time
- Who made the change
- What was changed (before/after)
This creates an audit trail for compliance.
Reverting Changes
If you need to undo a change:
- There's no automatic "undo" feature
- View the history to see previous values
- Manually edit back to the previous value
- Contact your administrator for help with complex reversions
Archiving vs. Deleting
Archiving
- Preserves the item and its history
- Item no longer appears in active lists
- Can be restored later
- Use for items temporarily out of service
Deleting
- Permanently removes the item
- History is retained for audit purposes
- Cannot be undone
- Admin permission required
- Use only when item was created in error

Updating Serial Number
- Edit the item
- Update the Serial Number field
- Save
Correcting Location
- Edit the item
- Select correct Location
- Save
Adding Missing Information
- Edit the item
- Fill in empty fields
- Add photos if available
- Save
Preparing for Retirement
- Edit the item
- Update Notes with retirement reason
- Change Status to Retired
- Save
Validation Errors
If you see errors when saving:

| "Name is required" | Enter an item name |
| "Invalid location" | Select from the dropdown |
| "Serial number exists" | Use a unique serial number |
| "Required field missing" | Complete all required fields |

- Keep information current - Update items when details change
- Add photos - Visual documentation helps identification
- Use notes - Record important information
- Verify changes - Review before saving
- Document reasons - Explain significant changes in notes
